Privacy policy
Effective October 18, 2026
Kerberos LLC (“Kerberos”, “we”) runs the customer portal at kerberosllc.com, where customers build purchase lists, receive quotes and invoices, and track orders. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- Account details you give us: name, unit or organization, email address, mobile phone number, billing and ship-to addresses, an optional purchase limit, and who referred you.
- Orders: the items, links, quantities, notes and budgets on your lists; quotes, invoices, receipts and payment records; hand receipt and log form numbers; and the people added to an order, such as a payment contact.
- Documents you upload, such as tax-exempt certificates attached to an order.
- Sign-in records: the email address or phone number you sign in with and when you last signed in. We use one-time codes and links, not passwords.
- Basic technical information our hosting providers record when you visit, such as IP address and browser type, for security and to keep the site running.
We do not collect full card or bank account numbers in the portal. Online payments are processed by Intuit Payments Inc. (QuickBooks Payments) on its own secure pages.
How we use it
- To price, quote, buy, ship and invoice your orders, and to show you their status and history.
- To send emails, and texts if you turn them on, about your account and orders: sign-in codes, quotes, approvals, payment and tracking.
- To approve new accounts, keep the portal secure, and prevent misuse.
- To keep business, accounting and tax records, including in our accounting software.
We do not sell your information, and we do not use it for advertising.
Who we share it with
We share information only as needed to run the portal and fill your orders:
- Service providers that host and operate the portal for us: website hosting (Netlify), the database, sign-in and file storage (Supabase), email delivery (Resend) and text messages (Twilio).
- Accounting and payments: invoice and payment details are recorded in our QuickBooks account. Online card and bank (ACH) payments are processed by Intuit Payments Inc. (QuickBooks Payments) on its own secure page; other card payments may be processed by our card processor.
- Stores and carriers we buy from or ship with, which receive the items ordered and the ship-to details needed to deliver them.
- People on the same order, such as the requester and the payment contact, who can see that order.
- When required by law, or to protect our rights, our customers or others.
Cookies and browser storage
The portal stores a sign-in session in your browser so you stay signed in, and a small offline page so the app opens without a connection. We do not use advertising or tracking cookies.
How long we keep it
We keep account and order information while your account is active and afterwards for as long as needed for invoices, tax and accounting records, and legal obligations. You can ask us to delete an account that has no orders on file.
Security
Information is sent over encrypted connections (HTTPS). Access to the database is limited by account, so customers see only their own orders and the orders they were added to. Uploaded documents are stored privately and opened through short-lived links. No system is perfectly secure, so please keep access to your email and phone safe.
Your choices
- Update your details any time on your Account page.
- Turn order-update texts on or off on your Account page, or reply STOP to any text.
- Email us to ask for a copy of your information, to correct it, or to delete your account.
Children
The portal is for business and government purchasing and is not meant for anyone under 18.
Changes
If we change this policy, we will post the new version here with a new effective date.
