Terms of use
Effective October 24, 2026
These terms (also our end-user license agreement) apply to the Kerberos LLC customer portal at kerberosllc.com. By signing in or placing a request, you agree to them. If you use the portal for a unit or organization, you confirm that you are allowed to act for it.
1. Your account
- New accounts are approved by Kerberos. We may decline or close an account at our discretion.
- Keep your details accurate, and keep access to the email address and phone you sign in with secure. You are responsible for activity on your account.
- You may add other people to an order, such as a payment contact. They can see that order and act on it.
2. Requests, quotes and approval
- A request is a list of items you would like Kerberos to buy for you. It is not an order until a quote is approved and paid.
- Rough prices you enter are estimates only. Our quote shows the actual price for each item, plus any tax, fees and shipping.
- Quotes are good through the date shown on them. Kerberos may extend a quote or send an updated one if prices change.
- When someone else is paying, that payment contact reviews the billing and shipping addresses and approves the quote.
3. Payment and fees
- Payment is due before Kerberos places the orders, unless we agree otherwise in writing (for example, under a contract).
- Online payments are processed by Intuit Payments Inc. (QuickBooks Payments). When you pay an invoice online by card or bank transfer (ACH), you pay on Intuit’s secure payment page, and Intuit’s terms also apply. Kerberos never sees or stores your full card or bank account number.
- Card fee: quotes include a card processing fee of 3.5% of the item subtotal when paid by credit card, shown as a separate line before you pay. It is no more than our cost of accepting the card. No card fee is charged on cash payments.
- Sales tax: North Carolina sales tax (7%) is added to every quote unless a tax-exempt certificate is on file for the order. If your purchase is tax exempt, upload your exemption certificate to the order before you approve the quote. Kerberos reviews it before invoicing and may add the tax back if the certificate doesn’t apply.
- Approved purchase card limits and funding rules of your organization remain your responsibility.
4. Ordering, shipping and returns
- Kerberos buys the items from the stores you chose, or equivalent sources we agree on, and ships them to the ship-to address on the order.
- Delivery dates come from the stores and carriers and are not guaranteed.
- Items carry their manufacturers’ warranties. Returns and exchanges follow the selling store’s policy; contact us and we will help arrange them. Store restocking fees or return shipping may apply.
- If an item becomes unavailable or its price changes before we order it, we will contact you before going ahead.
5. Acceptable use
Do not use the portal to request anything illegal or restricted, to upload false documents, to access accounts or orders that are not yours, or to interfere with the site. We may suspend access for misuse.
6. Connected services
The portal uses third-party services to run, including hosting, email, text messaging, payment processing by Intuit Payments Inc., and our own QuickBooks account for invoicing and payments. Your use of a payment page is also subject to that provider’s terms. The portal does not connect to customers’ own accounting software.
7. License
Kerberos grants you a limited, non-exclusive, non-transferable right to use the portal to request, approve, pay for and track purchases with Kerberos. The portal, its design and content remain the property of Kerberos LLC.
8. Disclaimers and limits
The portal is provided “as is”. To the extent the law allows, Kerberos is not liable for indirect or consequential losses, and our total liability for any order is limited to the amount paid to us for that order.
9. Privacy
Our privacy policy explains how we handle your information.
10. Changes and governing law
We may update these terms and will post the new version here with a new effective date. These terms are governed by the laws of North Carolina.
